A large-scale condominium association in Alexandria, Virginia is seeking a qualified General Manager. The General Manager is responsible for all aspects of day-to-day management including administration and development of staff, coordination and oversight of contractors, and support and monitoring of the association’s financial status. To be successful in this role, you should be a thoughtful leader and a confident decision-maker. You must be responsive to requests from the Board and from the owners, while assisting with employee development and encouraging productivity.

Staff Duties:

  • Assign daily tasks and oversee the execution of daily operations
  • Provide guidance and ensure staff has the necessary resources to carry out their duties
  • Ensure staff members are familiar with employee policies
  • Conduct annual reviews of staff
  • Take corrective action for employee infractions
  • Hire, coach and terminate employees
  • Manage human resources

Contractor Duties:

  • Create and maintain Request for Proposals (RFP’s) and Statements of Work (SOW’s) for contracted work
  • Provide a minimum of three bids to the Board for contracts and maintain an up-to-date list of active contracts
  • Provide final contract payments after work has been inspected and approved
  • Monitor and advise contractors of any issues that may require additional attention

Financial Management Duties:

  • Assist the budget committee and Board in preparation of the annual budget and propose modifications
  • Ensure invoices are submitted for payment in a timely manner
  • Assist in collection of routine and delinquent condominium fees and in the collection of receivables from other sources
  • Act as a liaison between the Board and the insurance companies to aid in the processing of claims
  • Coordinate and oversee the timely execution of the prior year’s audit
  • Process payroll on a bi-weekly basis
  • Account for revenue and provide reports to the Board on a monthly basis

Management of Real Property:

  • Perform frequent walkthroughs/physical inspections of the property
  • Provide recommendations to the Board for capital replacements
  • Ensure needed operations occur in a timely manner
  • Oversee the scheduling of preventative maintenance for the property
  • Ensure all corrective maintenance is carried out in a timely manner
  • Ensure grounds and property is maintained in a clean, orderly and appealing appearance

Support to the Residents and Owners:

  • Ensure all staff members are consistently communicating accurate information to residents
  • Arrange and oversee the dissemination of information to residents and owners via the website, newsletter, mobile app, public postings and posted flyers
  • Ensure the website is maintained
  • Address inquiries and complaints from owners and residents in a timely manner
  • Establish a quality assurance program to ensure owner concerns have been appropriately addressed by office and/or maintenance staff
  • Ensure community meetings are advertised to residents and owners using the website, newsletter, mobile app and Sequoyah signs/public posting

Support to the Board:

  • Prepare for monthly and annual meetings of the Board
  • Provide responses to inquiries of the Board in a timely manner
  • Support community meetings including monthly Board meetings, annual meeting, committee meetings, contract negotiations and working sessions. This requires in-person attendance.
  • Inform the Board of any issues related to unresolved owner complaints, emergency or unanticipated expenditures, insurance related claims, etc.
  • Advise the Board of regulatory issues and compliance requirements and when legal assistance may be needed

Other Requirements:

  • Keep property management credentials current (CMCA, AMS and/or PCAM)
  • Attain/maintain advanced qualifications in property management
  • Keep informed of changes in VA Condominium Act or other legislation
  • Be available to Board president for emergencies during non-work hours
